Home What we build Quoting automation Quoting automation

Get the whole quote request on the first try.

Customers fill out a form that asks for sign type, size, deadline and budget, with room to upload a logo and a photo of the spot. The system drafts the quote from your price list. You check it, change what you want, and send it.

The problem

Where quotes get stuck.

A request comes in as "how much for a sign?" You call back, leave a message, ask for the size, then wait on the logo file. Days go by before you can price it.

We confirm each connection on the free audit.

What the system handles

  • 01Asks different questions for each sign type
  • 02Collects logo files and photos of the building
  • 03Drafts a price for standard products from your price list
  • 04Flags custom jobs that need your eye

You approve every quote.

Each draft waits for you. Standard products like banners and yard signs get an instant price only if you turn that on.

What it does for your shop

Customers fill out a quote form that asks the right questions for their sign type. The system drafts the quote from your price list, and you check it and send it. You stop chasing customers for sizes, deadlines and budgets.

How it works

  1. The customer opens the quote form on your site, or from a link you text them.
  2. The form asks different questions for each sign type. Channel letters ask for wall size, lighting and a building photo. Banners ask for size, quantity and finishing.
  3. The customer uploads a logo file and a photo of the spot.
  4. If anything is missing, the customer gets a text or email asking only for that.
  5. Standard products like banners and yard signs get a drafted price from your price list. Custom work like lit letters and monuments gets a full summary for you to price.
  6. You get a text and an email when a draft is ready. You open it, edit it and approve it.
  7. The approved quote goes out by email or into QuickBooks or ShopVOX. If you run quote follow-up, the check-ins start there.

What you provide

  • Your price list and rules, like minimum order, rush fee and install charges
  • The questions you always ask for each sign type
  • Your usual quote wording
  • A few past quotes we can test against
  • Access to the email account your quotes go out from

Setup and upkeep (our estimate)

  • We set the timeline with you on the call.
  • About 2 hours a month for price list changes, new sign types and checking drafts

Pricing is worked out with you on a call.

Where your customers' data lives

Requests, logos and photos belong to you and are kept separate from every other shop's. Sent quotes live in your own email, and in QuickBooks or ShopVOX if we connect them. The system reads the request text to pull out the details and draft the quote. The system keeps short-lived run logs while it works.

Where a quote request stalls today.

The first message is one line.

A request comes in as "how much for a sign?" and you can't price it yet.

The details trickle in.

You call back for the size, then wait on the logo file. Days go by before you can price it.

Simple jobs wait on you too.

Even a banner or a yard sign sits until you work out the price by hand.

01

Map how you work today.

On the free audit we go through how a request turns into a job in your shop, step by step.

02

Set the approval steps.

We agree on what the system drafts and what you check before anything reaches a customer.

03

Test on real requests.

We run it on real quote requests with you watching, fix what's off, and then turn it on.

How it works in your shop

  • A form that asks what you'd ask.Channel letters need wall size, lighting and a photo of the building. Banners need size, quantity and finishing. The form changes its questions to match, so the customer only answers what matters for their sign.
  • A draft quote waiting for you.Once the request is complete, the system drafts the quote with your prices and your wording. It lands in your inbox or your shop software, ready for you to check and send.
  • Custom work stays with you.Lit letters, monuments and one-off jobs don't fit a calculator. For those, the system gathers the details and hands them to you, so you price from the full picture.

Before we build

Your questions,
answered.

Do we have to change how we price jobs?

No. We load your price list and your rules, like minimum orders and rush fees, and the drafts follow them.

What if a customer skips a question?

The form can require the answers you need to quote and explains why each one matters. If something is still missing, the draft says so.

Can customers still call us?

Yes. The form is one more way in. Phone, email and walk-ins work the way they do today.

Where does the quote go once I approve it?

Out by email from your own address, or into QuickBooks or ShopVOX if we connect them. If you run quote follow-up, the check-ins start from there.

How do I know a draft is ready?

You get a text and an email. Open the draft, change what you want, and approve it.

Can a customer start a quote from a text?

Yes. We can text them a link to the same quote form, so they can fill it out on their phone.
